Publication policy

The full ResearchPosters publication policy. For the plain-language summary shown at submission, see the author guidelines.

2.1 Copyright & Licensing

  • Authors retain full copyright of their work.
  • All published posters are distributed under a CC BY 4.0 licence, permitting redistribution and adaptation by others provided the original author(s) are credited.
  • By submitting, the author grants ResearchPosters a non-exclusive licence to host, distribute, and display the work under these terms.
  • The submitting author confirms they hold the necessary rights to publish the work, including permission from all co-authors and, where applicable, their institution or funding body.

2.2 Nature of Publication

  • ResearchPosters publishes conference posters (and, in future, other non-article research outputs) as citable scholarly records.
  • Publication here is independent of, and does not preclude, later publication of related work — including a full paper — in another venue.
  • Each submission receives a persistent digital object identifier (DOI) upon publication via Crossref, once membership is active.

2.3 Review Process

  • Every submission undergoes an editorial check (format, scope, authorship completeness, and an automated originality scan) prior to publication.
  • Every submission also undergoes a documentation review, conducted either by the relevant conference's committee (for conference-track submissions) or by ResearchPosters' invited reviewers (for individual submissions).
  • Documentation review confirms whether key elements — method, data/sample scope, results, funding source, conflicts of interest, and related disclosures — are clearly reported on the poster. It records what is present; it does not evaluate the correctness, novelty, or overall quality of the underlying research.
  • The outcome of documentation review is displayed transparently on the poster's page as a factual summary (e.g. which elements were confirmed present).
  • Review outcomes are informational and do not, on their own, affect whether a poster remains published.

2.4 Permanence of the Record

  • Once published, a poster becomes a permanent part of the scholarly record.
  • Content is not removed or altered on the basis of documentation review outcomes or subsequent disagreement about reporting completeness.
  • The conference name and date under which a poster was originally presented and accepted remain part of its permanent record.

2.5 Research Integrity

  • Authors affirm that submitted work is original, that data and results are accurately represented, and that all funding sources and conflicts of interest are disclosed.
  • Where human or animal subjects are involved, authors affirm that appropriate ethical/IRB approval was obtained and, where applicable, is referenced on the poster.
  • Concerns about plagiarism, data fabrication or falsification, undisclosed conflicts of interest, or ethical violations may be reported by reviewers, readers, or automated tools at any time, including after publication.
  • Confirmed cases of research misconduct, following a documented investigation process, result in a retraction notice added to the poster's page. The original DOI remains resolvable; the notice states the reason for retraction. Content is not silently deleted.

2.6 Data & Privacy

  • Author names, affiliations, and (where provided) contact details are displayed publicly as part of the published record.
  • ORCID identifiers are optional at this stage and will become required in future.
  • Authors may contact ResearchPosters to request limited redaction of personal contact details, subject to review; core authorship and affiliation information remains part of the permanent record.

2.7 Submission Requirements

  • Poster files must be submitted in the specified format (PDF or high-resolution image) within stated size limits.
  • Required metadata: title, all authors and affiliations, subject area, conference name and date (or presentation context, for individual submissions), and abstract.
  • Proof of conference acceptance (e.g. an acceptance notification or program listing) is required for conference-track submissions.

2.8 Policy Updates

  • These guidelines may be updated over time. Material changes will be communicated to registered authors, and previously published records remain governed by the policy in effect at the time of their publication.
